For boards
Collect what is owed without losing a neighbor
Unpaid assessments pay for the roof, the pool and the insurance. We help the board ask in the order that works: a reminder, a plan, and a lien only if the plan fails.
A late account is usually a person in a hard month. A board that opens with a payment plan collects more and ends up in court less often than a board that opens with a lien. We write the plan, the letters and the policy that makes the first step the same for everyone.
The order we follow
- A reminder that states the amount, the due date and how to reach the manager
- A demand letter that cites the rule and offers a payment plan
- A signed plan with a schedule and a plain statement of what a missed payment does
- A lien or court filing only after the plan fails and the board votes
A note on collections
When we pursue unpaid assessments for an association, federal law may treat us as a debt collector. If you receive a letter from us, you have rights to ask for the amount and to dispute it, and the letter says how.
The steps
How a collection matter runs
The board keeps control of each step.
- 01
Step 1: Adopt the policy
A one-page collection policy, adopted at a meeting and entered in the minutes, so every owner is treated the same way.
- 02
Step 2: Send the sequence
We prepare the reminder and the demand letter for the manager to send, or send them on the board's behalf.
- 03
Step 3: Offer the plan
A short agreement with a schedule. Payments received are applied as the policy says.
- 04
Step 4: Escalate only after the board decides
If a plan fails, the board meets and decides before we file a lien or start a court case.
Fees
How each step is billed
Flat fees for each piece of work, stated before it starts and repeated in your engagement letter.
Letters
A reminder or demand letter, checked against the policy and sent on firm letterhead. Billed per letter, so the fee follows how many accounts the board sends.

Payment plan
A written agreement with a schedule, signed by the owner and approved by the board. Billed per plan.

Lien
A lien notice prepared and recorded after the board votes. Billed per lien, and only after the vote.

Release when the account is paid
Replies from the owner and any court approval are separate work, quoted first. Recording and court fees are paid at cost and billed as they come up.
Start with the policy, not the lien
Send us your current collection policy, or tell us you don't have one. We reply with a fee for the first step.
